Adding Room Schedules to Calendar (Mac OSX)
NOTE: Room calendars added to Outlook are view only. If you need to make a reservation, please email pharmcal@usc.edu
Overview
For those needing to see availability across multiple rooms at a glance, we recommend adding these calendars to your Mac Calendar client directly.
Each room schedule will need to be added individually using the steps below.
- In your browser, open the room booking schedule and click on the (i) icon under the name of the room you wish to add. NB: Do not download the ICS files!
- Control-click the iCal URL link for the room you’d like to add to Outlook, and select ‘Copy Link Address / Copy Link Location‘.
- Open the Calendar app on your Mac.
- Click ‘File‘ -> ‘New Calendar Subscription…‘
- Paste the previously copied URL (Command + V) into the dialog box that appears, and click ‘Subscribe‘.
- In the window that appears:
- Enter a name for the Calendar (e.g. PSC 701).
- Change the Auto-refresh setting to ‘Every 15 minutes‘ to ensure the room schedule is kept up-to-date. Click ‘OK‘ when done.
The room schedule should now show up on your list of calendars. Repeat these steps for each room schedule you wish to add.
Suggestions
- To keep your calendar from being cluttered, turn off room schedules not currently in use by unticking the colored check box next to the calendar name.
- To optimize readability, only enable calendars for rooms you wish to check (for example, you might just enable calendars PSC 100A, 200, and 701 if you were looking for availability of a conference room).
