Adding Room Schedules to Outlook (PC)
NOTE: Room calendars added to Outlook are view only. If you need to make a reservation, please email pharmcal@usc.edu
Overview
For those needing to see availability across multiple rooms at a glance, we recommend adding these calendars to your Mac Calendar client directly.
Each room schedule will need to be added individually using the steps below.
- In your browser, open the room booking schedule and click on the (i) icon under the name of the room you wish to add.
- Right click the iCal URL link for the room you’d like to add to Outlook, and select ‘Copy Link Address / Copy Link Location‘
NB: Do not download the ICS files!
- Launch Outlook and go to Calendars
- Click the ‘Open Calendar‘ button on the ribbon, and select ‘From Internet…‘ from the drop-down menu
- In the dialog box that appears, paste the copied link (right click & paste, or press Ctrl+V) and click ‘OK‘
- Click ‘Advanced‘ on the next dialog box
- Change the Folder Name to the name of the room (e.g. B13), and click ‘OK‘
- Click ‘Yes‘
The calendar should now show in Outlook.
OPTIONAL: Adding a lot of room schedules will create a cluttered calendar page. When adding multiple calendars, we strongly suggest organizing them into calendar groups (e.g., PSC Building, CHP Building). To create a new calendar group:
- Right-click ‘My Calendars‘ from the calendars list.
- Click ‘New Calendar Group‘ from the menu.
- Type in a name for the group (e.g. PSC Building) and hit enter.
- Click and drag calendars into this group.
